1. Who We Are
This website (ultraaligners.com.au) is operated by The Aligner Designer Co Pty Ltd trading as Ultra Aligners (“Ultra Aligners”, “we”, “us”, “our”). We provide orthodontic aligner design and manufacturing workflow services to licensed dental professionals in Australia. We are committed to protecting your privacy and handling personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). This policy applies to information we collect through our website, our dentist/clinic portal, and in the course of providing our services. Changes to this policy. We may update this policy from time to time. The current version will always be available on our website. If changes are material, we will take reasonable steps to notify our registered clinic users. Third-party links. Our website may link to third-party sites. We are not responsible for the privacy practices of those sites and encourage you to review their policies separately. Children. Our website and services are directed at licensed dental professionals, not the general public or children. We do not knowingly collect personal information directly from children. Patient information (which may relate to minors) is provided to us by treating dentists as part of case submission — see Section 2.
2. Information We Collect
We collect different categories of personal information depending on whether you are a registered dentist/clinic user of our platform, or a website visitor. From dentists and clinic staff: - Identity Data — name, title, job role - Contact Data — business address, email, phone number - Professional Data — dental registration/AHPRA number, qualifications, practice details - Financial Data — bank/payment details for billing - Transaction Data — case orders, invoices, payment history - Technical and Usage Data — login activity, IP address, device/browser information, how you use our portal Patient information submitted by treating dentists (Health Data): As part of the aligner design and manufacturing process, treating dentists submit patient intra-oral scans, photographs, and case notes through our platform. This is health information under the Privacy Act. We process this information on behalf of, and under the instruction of, the treating dentist, who remains responsible for obtaining the patient’s consent to share this information with us. We do not market to, or otherwise use patient data for any purpose beyond delivering the aligner design and manufacturing service.
From website visitors: - Technical Data — IP address, browser type, device information, general location - Usage Data — pages visited, time on site, referral source - Marketing and Communications Data — your preferences and any details you provide via enquiry or newsletter sign-up forms
3. How We Collect Information
Directly from you — when you register as a clinic user, submit a case, contact us, or subscribe to updates. From treating dentists — patient scans, photos and case data are uploaded by the treating dentist as part of case submission. Automatically — through cookies and analytics tools (see Section 6) when you use our website or portal.
4. How We Use Your Information
We use personal information to: - Provide, maintain and improve our aligner design and case-tracking services - Process orders, payments and communicate about active cases - Manufacture aligners, including sending case files to our manufacturing partners - Verify professional credentials of registered dentists - Respond to enquiries and provide customer support - Send service-related communications (e.g. case status updates) - With your consent, send marketing communications about new products, features or events - Analyse website and portal usage to improve our services - Meet our legal, regulatory and accounting obligations We only use patient health data for the purpose it was submitted — designing and manufacturing the patient’s aligners — and as instructed by the treating dentist.
5. Cookies and Analytics
Our website uses cookies and similar technologies, including Google Analytics, to understand how visitors use our site and to improve it. This may involve the collection of Technical and Usage Data as described above. You can control or disable cookies through your browser settings. Disabling cookies may affect some website functionality.
6. Marketing With your consent,
we may send you marketing communications about Ultra Aligners’ products, services, and events (for example, by email). You can opt out at any time by using the unsubscribe link in any marketing communication or by contacting us at info@ultraaligners.com.au. We do not sell personal information to third parties, and we do not share your information with third parties for their own direct marketing purposes.
7. Who We Share Information With
We may share personal information with: Manufacturing partners (including overseas laboratories): Case files, including patient scans, photographs and patient names, are shared with our manufacturing partners to produce aligners. This is a disclosure of personal information and we apply the safeguards described in Section 8. Service providers: IT hosting, cloud storage, payment processing, and customer support providers, who are contractually bound to protect your information and use it only for the purpose we specify. Professional advisers and regulators: Where required for legal, accounting, or compliance purposes. Business transfers: If Ultra Aligners is involved in a merger, acquisition, or sale of assets, personal information may be transferred as part of that transaction, subject to confidentiality protections. As required by law: Where disclosure is required or authorised by law, or to protect the safety of any person. We do not sell personal information.
8. Overseas Disclosure
Because our manufacturing partners are located overseas, personal information — including patient names, scans and case data — is disclosed outside Australia, including to France and Germany. Before disclosing personal information overseas, we take reasonable steps to ensure the overseas recipient handles the information consistently with the Australian Privacy Principles, including through contractual protections with our manufacturing and service partners. 9. Data Security
We implement reasonable technical and organisational measures to protect personal information from misuse, interference, loss, unauthorised access, modification, or disclosure. Access to patient health data is restricted to personnel and partners who need it to deliver the service. We have procedures in place to respond to any suspected data breach, including notification in accordance with the Notifiable Data Breaches scheme where required.
10. Data Retention
We retain personal information only for as long as reasonably necessary to provide our services and to meet legal, regulatory, tax, or accounting requirements. Patient case data is generally retained for the duration of active treatment plus 7 years to support clinical record-keeping obligations, unless earlier deletion is requested and legally permissible. Clinic account information is retained for as long as the account is active, and for a reasonable period afterward for record-keeping purposes.
11. Your Rights Under the Privacy Act,
you have the right to: Request access to personal information we hold about you Request correction of inaccurate or incomplete information Request deletion of your information, where legally permissible Withdraw consent to marketing at any time Lodge a complaint about how we have handled your personal information Note for patients: If you are a patient and wish to access or correct your health information, please contact your treating dentist in the first instance, as they are the primary holder of your clinical records. We will assist your dentist with any request relating to data held within our systems. To exercise any of these rights, contact us at info@ultraaligners.com.au. We will respond within a reasonable time, generally within 30 days.
